What personal data we collect and why we collect it
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact forms
Our forms do not store your data on our site. It is only sent over email. We only use the information in the form to respond to or act on your request, question, or submission.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
If you make use of our online merchandise store, when available, the store may store cookies about which items you have added to your cart. Please see the “Ecwid Store” section below.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Ecwid Store
We sometimes make a merchandise store available on the site (separate from merchandise sold through our Camptix registration system). This store is handled by Ecwid, and any information collected is used solely to fulfill your order. Please see Ecwid’s privacy policy for more details.
Registration
When you register for one of our events, you provide information including your name, email address, phone number, discord name, badge name, shirt sizes, minor status, and pronouns. This information is used to contact you about the event and your purchase, respond to any requests or questions from you, and to provide you with your badge and swag on-site at the event.
We use Convention Master by Civet Solutions to handle registration and related functions. The above information is stored on Civet Solutions’ servers, but is not otherwise shared with them in any way.
We will not share the data you provide at registration with any third parties.
Room Block
When you book rooms for our event using the given room block code, you provide the hotel information including your name, dates of reservation, and requested room type. We may collect this information from the hotel leading up to the event for the purpose of verifying room block performance (number of room-nights booked) and checking for unauthorized room block use. This information will never be shared outside of the Hotel and Committee, and this information will never include personal billing information.
Surveys
We sometimes send out optional surveys, generally to gather feedback after an event. If you choose to participate, we will use your data in an aggregate form to understand how to improve our events.
Mailing List
We use MailChimp for occasional emails. We will only contact you using MailChimp if you either sign up for our MailChimp list, or if you register for a Mysterium event.
Payments
We use a number of payment processors, including PayPal, Square, and Stripe. These processors handle your transactions, and we do not see, process, or store any financial or credit/debit card data. Please see their privacy policies to learn how they handle your data.
Who we share your data with
We do not share your information with other parties, except for the following reasons:
If we have to ship items to you, we will share your shipping information with the appropriate shipping carrier.
We may share your name with our hotel or off-site activities that you opt-in to attending, if needed.
We may share your name and email address to MailChimp to contact you if you have registered for an event or if you have signed up for our mailing list.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Registration data, purchase data, and emails are kept indefinitely.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
